We’re so excited to welcome you to the 2025 CASEP Conference!

Here’s everything you need to know about how travel support will work:

Hotel Lodging

NHRC will cover hotel lodging costs upfront, so you don’t need to worry about booking a room. Please do not call the hotel directly. Debbie from our team will handle all reservations. You’ll just need to bring a valid ID and a credit or debit card to check in for incidentals.

If your program anticipates any issues with this (like not having an ID or card), please contact debbie.cooke@meetingmasters.biz to arrange for an alternative check-in process that works for your team.

Each program can decide whether to place one or two people in a room. Whatever feels best for your team. We’re not asking anyone to share rooms, but it’s totally fine if folks want to double up. Your call!

Travel Reimbursement

Transportation costs, like flights, car rentals, and mileage, will be reimbursed to your program, not individual attendees. Each program will fill out one simple reimbursement form, even if multiple staff are attending.

Here’s what you’ll need to submit:

  • Flights: A copy of the receipt for each flight booked
  • Car Rentals: Receipt from the rental agency
  • Mileage: A Google Maps PDF showing the roundtrip distance to and from the Parc 55 Hotel (we’ll reimburse at $0.70 per mile)

Programs located within 75 miles of the venue (Park 55 Hotel, San Francisco) are asked to drive their own vehicle and request mileage reimbursement, or rent a vehicle and submit the receipt for reimbursement.

Programs more than 75 miles from the venue are welcome to fly, or you may choose to drive if that’s more convenient.

If your program is within 75 miles but unable to drive, please contact debbie.cooke@meetingmasters.biz to discuss alternative travel options.

We kindly ask programs to be thoughtful when booking travel, like purchasing economy flights early to keep costs down and carpooling when possible. This helps us make sure everyone who wants to attend is able to.
