Logistics Costs:
 
AIDS United has augmented this grant award to include funds to cover costs associated with attendance at the grantee convening ($2,000 if one (1) staff person is attending, $4,000 if two (2) staff persons are attending), including airfare, lodging, and meal and incidental expenses. AIDS United reserves the right to make a final decision on the Grantee representative attending the grantee convening.
 
Room Arrangements
 
We will arrange hotel accommodations for approved attendees who are traveling the Washington, DC area.  We expect that you will participate in all planned convening activities. Attendees are expected to arrive by the evening of Sunday, August 25th. 
 
Please do not contact the hotel directly.  We will confirm your hotel reservations for the nights of August 25th, August 26th and August 27th. Additional night requests are based on availability and at the expense of the attendee.
 
Cancellation/Early Checkout
 
Please note that all attendees are required to adhere to the hotel's cancellation policy 48 hours prior to arrival.  Attendees who do not notify AIDS United of their intent to cancel their reservation 48 hours before check-in will be responsible for all penalties incurred. 
 
**Any changes to your registration should be communicated to  Shannon Cooke (shannon.cooke@meetingmasters.biz) and Jade LeDuff (jleduff@aidsunited.org) as soon as possible.**
 
In the event that an attendee checks out prior to their reserved checkout date, an early departure fee will be charged to the guest, and the attendee will be responsible for this fee.  Attendees wishing to avoid this fee must advise Shannon Cooke prior to check-in.
 
Travel Information
 
Airfare and ground transportation costs will be covered by the Grantee Organizations per Grant Agreement. If you have any questions about your Grant Agreement and/or Grantee convening costs please contact your Point of Contact for more information. 

**Reminder**AIDS United will not cover travel and transportation.
 
**Registration should be completed no later than 5 PM on Wednesday, August 14, 2019.
 
You are expected to arrive by the evening of Sunday, August 25, 2019 and should plan to have your return flight depart after 4:00pm on Wednesday, August 28th, 2019.
 
Ground Transportation
 
Instructions about parking will be sent to those who indicated they will be parking on site, so we ask that you please be sure to carefully follow those instructions.  Therefore, we will not be reimbursing you for any costs associated with parking.
 
Per diem
 
Grantee organizations are responsible for covering per diem using the additional funding included in your grant award to support staff attendance at the convening. AIDS United encourages grantee organizations to use the federally-approved rate for Washington D.C. to calculate per diem. A suggested per diem amount and breakdown is listed below.
 
Please note that attendees are responsible for managing their out-of-pocket expenses. AIDS United will not reimburse attendees for any costs.
